Overview

This position is responsible for preparing lists of patients in nursing home facilities using accurate data from numerous scheduling tools.  Duties include effectively managing production of all recall lists, private pay letters and additional consents for surgical services.   

Responsibilities

  • Reviews calendar and assists with scheduling of patients 3 weeks prior to facility visit.
  • Uses numerous systems to collect data to support those patients needing to be seen for recall, treatment, restorations, extractions, and denture related services.
  • Schedules patients to be seen for clinical teams and hygiene visits.
  • Understand requirements and process to legally see a patient and ensure documentation is on file to preserve and protect the integrity of the patient chart.
  • Formulates schedule on company-based priority list.
  • Identifies the next date of service for a facility visit for the dental team.
  • Prints and sends private pay letters 3 weeks prior to the visit.
  • Prepares and sends extraction consents and clearances 3 weeks prior to visit.
  • Assists with additions and deletions of patients to be seen.
  • Works daily with facilities to support patient care activities with our customers.
  • Provides exceptional customer service with follow up communication to facilities, providers, and clinical field team.
  • Demonstrates a strong sense of urgency when responding to all requests.
  • Works proactively to anticipate need and support patients, facility, and clinical team.
  • Verify, review, and follow up on all patient information.
  • Actively supports and complies with all components of the compliance program, including, but not limited to, completion of training and reporting of suspected violations of law and Company policy.
  • Maintains confidentiality of all information; abides with HIPAA, OSHA, and PHI guiltiness at all times.
  • Reacts positively to change and performs duties as assigned.

Qualifications

  • High school diploma required; college degree or experience preferred.
  • Dental scheduling and office experience required.
  • Must have strong sense of urgency and be sensitive to deadlines.
  • Strong computer skills required with proficiency in Microsoft Office, Excel, Word, Outlook
  • Critical thinking/Solutions-based skills required for time sensitive environment.
  • Strong time management skills required.
  • Detail-oriented
  • Ability to multi-task
