Overview

This manager is responsible for the administration of employee benefits in all company operations.  They will provide guidance and assistance to all locations on various employee benefit plans.  This position must stay current on industry changes and assist with determining the company’s competitive position in employee benefits. They will develop, recommend, and install approved, new, or modified plans and employee benefits policies and supervise administration of existing plans.  They also head the company’s wellness committee.

Responsibilities

  • Administer employee benefits programs such as retirement plans; medical, dental, vision plans; life insurance plans; and wellness programs.
  • Work with Broker to evaluate and compare existing company benefits with those of other employers by analyzing other plans, surveys and other sources of information. 
  • Assist in maintaining census data for quoting.
  • Complete employee status review twice per year for benefit participation.
  • Install approved new plans or changes to existing plans by preparing announcement materials, plan summary documents and other media for communicating plans to employees. Conduct employee meetings and arrange for enrollment. Advise and counsel management and employees on existing benefits.
  • Maintain benefit systems and documentation, such as original and amended plan texts, benefit agreements and insurance policies. Instruct insurance carriers, trustees, and other administrative agencies outside the company to effect changes in benefits program. Ensure prompt and accurate compliance.
  • Assure company compliance with provisions of Employee Retirement Income Security Act and the Affordable Care Act. Supervise preparation of reports and applications required by law to be filed with federal and state agencies, such as Internal Revenue Service, Department of Labor, insurance commissioners, and other regulatory agencies. Review and analyze changes to state and federal laws pertaining to benefits and report necessary or suggested changes to management. Coordinate company benefits with government-sponsored programs.
  • Promptly handle benefit inquiries and complaints to ensure quick, equitable, courteous resolution. Maintain contact in person, and by phone or mail, with hospitals, physicians, insurance companies, employees, and beneficiaries to facilitate proper and complete utilization of benefits for all employees.
  • Supervise maintenance of enrollment and claims records for all benefits plans.
  • Ensures all invoices are reviewed, reconciled, and processed promptly.
  • Lead the organization's employee wellness initiatives by chairing the Wellness Committee, developing and implementing wellness programs that promote employee health and engagement, coordinating committee meetings and activities, and evaluating program effectiveness.
  • Plan, write, and publish a wellness newsletter that communicates wellness resources, educational content, upcoming events, and health promotion campaigns to encourage employee participation and support a culture of well-being.
  • Works closely with carriers and HR team to support benefits during all leave situations.
  • Works to ensure compliance of company, EEOC, all federal and state government guild lines is maintained at all times.
  • Works closely with Payroll to ensure employee deductions are properly represented in the system.
  • Maintains confidentiality of all information; abides with HIPAA and PHI guidelines at all times.
  • Actively supports and complies with all components of the compliance program, including, but not limited to, completion of training and reporting of suspected violations of law and Company policy.
  • Reacts positively to change and performs other duties as assigned.

Requirements

  • Knowledge of benefit industry and experience with plans and billing process.
  • Strong desire to excel and achieve results.
  • Strong urgency and able to practice a high level of confidentiality.
  • Knowledge of proper grammar, spelling, and rules of composition.
  • Ability to work effectively independently and with senior management and other team members.
  • Ability to organize and complete work in a timely manner.

 

Minimum Qualifications

  • Bachelor's degree or equivalent in Human Resources, Business, or Organization Development or equivalent preferred  
  • 5 years benefit experience preferred.
