Overview

The primary function of the Policy Services Representative is to ensure policy documents are issued correctly and within a given time frame. This role will provide administrative support to the Insurance Operations Team on an as-needed basis and will also include Front Desk responsibilities providing daily coverage for all breaks (including lunch) and covering for any vacation or time the Receptionist is away. 

Responsibilities

  • Review policies and policy-related documents for accuracy
  • Prepare policy documents and forms for delivery
  • Support the team by processing applications, helping with the offset process, or processing changes
  • Open and distribute department mail
  • Other administrative duties as assigned
  • Greet visitors in a professional manner and manage the visitor log
  • Answer and route incoming phone calls, field inquiries and relay messages to appropriate staff
  • Ensure all processes adhere to relevant federal and state regulations and internal policies, including HIPAA compliance where applicable
  • Actively support and comply with all components of the compliance program, including, but not limited to, completion of training and reporting of suspected violations of law and Company policy
  • Maintain confidentiality of all information; abide by HIPAA and PHI guidelines at all times
  • Reacts positively to change and performs other duties as assigned.

Qualifications

  • High School Diploma, Associate’s degree or related experience in insurance administration or a similar field
  • Proficiency with Microsoft Office Suite
  • Excellent interpersonal, oral, and written communication skills.
  • Must be detail oriented and self-motivated.
  • Excellent customer service skills.
  • Anticipate needs in a proactive manner to increase satisfaction.
  • The Company reserves the right to modify any bonus/commission structure prospectively at any time for any reason. A bonus/commission is not considered earned until it is paid, and the employee remains with the Company at the time of payment
  • Take ownership of job responsibilities by initiating prompt and appropriate follow up and/or action to problems.
