Overview

The Medical Records Supervisor works as a support function to assist with supervising the department.

Responsibilities

  • Assist with employee training and aware of any department/Company or procedural changes.
  • Proactively provides feedback to management on employee and department productivity on a weekly basis.
  • Creates the Shared List for team to use for daily assignments.
  • Ensures department pipeline is maintained and up to date so daily assignments can be completed:
    • Completes weekly reporting for new admits.
    • Completes weekly audit on each sales representative’s workflow to ensure new admit accuracy.
    • Ensures census review is collected.
    • Ensures facilities have a “scrub” started.
    • Updates and deletes facilities as they are added and confirmed to the sales process.
  • Completes weekly audit on facility opportunity – factored vs not factored, deleting old entries.
  • Assist employees to maintain factors of at least one week out for all Inside Sales Reps.
  • Audit reports every 4 weeks for each scrubber.
  • Follow-up on details is required when a facility does not show on workflow.
  • Ensure information provided to sales team is accurately noted and ready for calls.
  • Responsible for tracking updated information on all department reports and communication in a timely manner.
  • Effectively communicates with employees, management and customers.
  • Actively supports and complies with all components of the compliance program, including, but not limited to, completion of training and reporting of suspected violations of law and Company policy.
  • Maintains confidentiality of all information; abides with HIPAA and PHI guidelines at all times.
  • To work remotely, it is expected you will have a reliable, nonpublic high-speed internet connection with sufficient bandwidth to participate in all work-related activities. Any interruptions in service should be immediately reported to your manager.  
  • Reacts positively to change and performs other duties as assigned.

Qualifications

  • High school degree or GED required.
  • Sales and similar experience preferred.
  • Must be able to work in a fast-paced environment.
  • Must have excellent customer service and leadership skills
  • Must have a sense of urgency and a passion for customer satisfaction.
  • Ability to work independently and with other team members.
  • Excellent interpersonal, oral, and written communication skills.
  • Must be detail oriented and self-motivated.
  • Anticipate needs in a proactive manner to increase satisfaction.
  • Take ownership of job responsibilities by initiating prompt and appropriate follow up and/or action to problems.
