Overview

The person in this role is responsible for managing the document management department and all aspects of the post-sale records updates and maintenance at 360Care.

Responsibilities

  • Assist with employee training and be aware of any department/Company or procedural changes.
  • Proactively provides feedback to management on employee and department productivity on a weekly basis.
  • Ensures department pipeline is maintained and up to date so daily assignments can be completed:
  • Completes weekly reporting for new patient admits.
  • Ensures census review is collected.
  • Facilities have a “scrub” started (insurance sales leads).
  • Census Review process to ensure regular reviews.
  • Data entry in creating electronic patient charts for insured facilities to meet deadlines.
  • Assist employees to maintain factors of at least one week out for all Inside Sales Reps.
  • Audit reports every 6 weeks for each specialist.
  • Create and maintain reports and workflows.
  • Ensure the information provided to the sales team is accurately noted and ready for calls.
  • Responsible for tracking updated information on all department reports and communication in a timely manner.
  • Facilitates and manages EMR access with facilities.
  • Troubleshoots issues and concerns related to process flows.
  • Effectively communicates with employees, management and customers.
  • Manages communication with territory marketers, and other management.
  • Responsible for managing direct reports.
  • A high level of personal productivity.
  • A commitment to excellent customer service.
  • Actively supports and complies with all components of the compliance program, including, but not limited to, completion of training and reporting of suspected violations of law and Company policy.
  • Maintains confidentiality of all information; always abides with HIPAA and PHI guidelines.
  • To work remotely, it is expected you will have a reliable, nonpublic high-speed internet connection with sufficient bandwidth to participate in all work-related activities. Any interruptions in service should be immediately reported to your manager.  
  • Reacts positively to change and performs other duties as assigned.
