Overview

This position is responsible for assisting management with clinical operations in the field.   They will help with recruiting, supervise new hire training, and act as a liaison between the assistants in the field and Branch Managers. Works collaboratively with all departments to achieve the coordination of high-quality care.    In addition, will assist physicians at assigned long term care facilities with optometry, podiatry, and audiology care. 

Responsibilities

  • Assist doctor in prompt and courteous manner.
  • Completes chart prep on scheduled patients prior to every visit.
  • Verifies and maintains current and accurate clinical records, charts and medical history through electronic medical records during patient visits.
  • Maintains current and accurate clinical records and charts through electronic medical records.
  • Completes end of visit reports on the day of visit and shares with management.
  • Works with staff to coordinate and maintain patient flow during facility visit (may remove socks/shoes, may push wheelchair).
  • Responsible for all care and cleaning of medical equipment at the end of every visit.
  • Ensure all medical equipment is working properly by completing preventive maintenance requirements and following manufacturer’s instructions.
  • Responsible for clean-up of service area used facility upon departure of visit.
  • Coordinate prompt delivery of eyeglasses to patients in territory.
  • Deliver eyeglasses and make adjustments or repairs on resident eyeglasses as needed.
  • Participates in the recruiting, interviewing, and on-board training of field assistants.
  • Ensures consistency in all training and coaching provided to the field assistants.
  • Provides feedback to the employee and manager for coaching and performance reviews.
  • Ensure field employees have appropriate tools, systems and supplies with the good understanding knowledge of function.
  • Assist with approving payroll and expense reports for the field staff.
  • Manages clinic schedule and assist with coverage and reschedules as needed.
  • Conducts weekly audits of staff end of visit reports and provides feedback to the employee and manager.
  • Conducts quarterly observations for training and continued education with the field staff.
  • Responsible for overall success of clinic visits and number of patients seen vs scheduled.
  • Maintains supply order for region.
  • Assist field with daily challenges involving equipment or customers concerns.
  • Manages broken equipment and repairs for the region.
  • Attend and work with new providers on first visits.
  • Proactively evaluates operational results and makes suggestions for improvement.
  • Attend first visits to new facilities as required.
  • Assist with facility and provider concerns regarding field service.
  • Responsible for enforcing policies and procedures as well as streamlining effective processes across multiple markets and practices.
  • Provides constructive feedback to management on a consistent basis.
  • Ensure compliance and industry standards of HIPAA.
  • Monitor systems and process for appropriate access, use and disclosure of, requests for, and protection of PHI. Ensure daily operations and actual practice conform to regulatory requirements.
  • Communicates and follows up with team for compliance and performance related changes and issues.
  • Must have the ability to train and work hands-on in all aspects of the field operations to assist in daily operations.
  • Monitor scheduling of providers, medical assistants, and administrative staff for multiple locations.
  • Stay up-to-date with EMR functionality and processes.
  • Assist with implement process on policy changes and improvements made by Corporation to maintain standardization.
  • Emphasize customer service in all aspects of operations.
  • Actively supports and complies with all components of the compliance program, including, but not limited to, completion of training and reporting of suspected violations of law and Company policy.
  • Maintains confidentiality of all information; abides with HIPAA and PHI guidelines at all times.
  • Reacts positively to change and performs other duties as assigned.
  • Must be willing to travel 100%.

Qualifications

  • Associates or Bachelor’s Degree in a related field preferred.
  • Minimum 3 years clinic or medical practice environment experience.
  • Minimum 3 years supervisory experience.
  • Excellent interpersonal, oral, and written communication skills.
  • Must be detail oriented and self-motivated to set the pace of the team.
  • Excellent customer service skills.
  • Ability to problem solve independently and / or a team.
  • Work alongside team members.
  • Experience in EMR, Excel, Word, PowerPoint, Outlook, and SharePoint preferred.
  • Anticipate needs in a proactive manner in an effort to increase satisfaction.
  • Take ownership of job responsibilities by initiating prompt and appropriate follow up and/or action to problems.
