Overview

This position is responsible for supporting the sales representatives and referring physician practices so that revenue and sales volume can increase. This person is also responsible for other tasks from day to day such as fulfilling supply orders that are requested by referring physician offices.

Responsibilities

  • Support sales representatives by knowing where they are, passing along information from management, coordinating calendars, and assisting with travel arrangements.
  • Compile and update physical and/or digital files on clients, leads, expenses and sales.
  • Deliver reports on things such as backlogged items and monitor inventory.
  • Open, stamp and distribute mail daily.
  • General admin. duties: typing, answering phones, filing and other jobs critical to office operations.
  • Back-up clerical/administrative support for the V.P. of Lab Services as needed.
  • Process supply orders submitted by sales reps making sure they are accurate and shipping in a timely manner.
  • Organize meetings for all sales reps.
  • Make arrangements for a sales rep to attend a trade show.
  • Actively supports and complies with all components of the compliance program, including, but not limited to, completion of training and reporting of suspected violations of law and Company policy.
  • Maintains confidentiality of all information; abides with HIPAA and PHI guidelines at all times.
  • Reacts positively to change and performs other duties as assigned.

Qualifications

  • High school diploma or equivalent.
  • Minimum 1 year experience as an administrative assistant.
  • Working knowledge of Microsoft Word, Excel, and Outlook.
  • Excellent organizational, analytical and problem-solving skills.
  • Ability to work independently and with other team members.
  • Excellent interpersonal, oral, and written communication skills.
  • Must be detail oriented and self-motivated.
  • Excellent customer service skills.
  • Anticipate needs in a proactive manner to increase satisfaction.
  • Take ownership of job responsibilities by initiating prompt and appropriate follow up and/or action to problems.
